Terms of Service

Mandates · Version 2026-10-09

Using Mandates

Mandates provides a workspace for agencies and their authorised staff to organise mandates, documents, invoices and reports. The agency administrator accepts these terms for the agency and confirms authority to do so. Each user must protect their account and use only information they are authorised to access.

Your subscription

Prices are in Namibian dollars per month, as shown on the package and billing page when you order. Features and agent allowances depend on your selected package. All packages include unlimited invoice creation. Issued property addresses and descriptions are locked; corrections to other details remain possible and must be communicated to recipients.

Payment and cancellation

Selecting a payment preference does not itself charge a card. EFT payments require confirmation; any online payment requires a separate checkout displaying the amount. You may request cancellation by contacting us before the next billing period. Cancellation stops future renewals; access continues for the paid period unless suspension is necessary for security or misuse. Contact us about mistaken charges, refunds or service failures. Applicable legal rights are not excluded by these terms. No automatic debit is authorised merely by accepting these terms.

Your data and documents

The agency retains its rights in its records and authorises Mandates to process them to deliver, support and protect the service. You are responsible for accurate records, lawful collection, permission to upload client information, and appropriate access for staff. Review generated invoices, reports and authority letters before use. Mandates does not provide legal, tax or estate-agency advice or guarantee that an electronic signature meets every transaction’s legal requirements.

Security and acceptable use

Do not access another agency’s records, share accounts, upload malicious material, interfere with service or bypass access and package controls. We may restrict access to address misuse, non-payment or security risks and will explain the reason where reasonably possible. Report suspected unauthorised access promptly.

Availability and records

Maintenance and third-party outages may interrupt access. We do not promise uninterrupted service or a particular recovery time. Keep independent copies of important business records. Contact us to arrange account closure, export or deletion; some records may need retention for security, accounting, disputes or legal obligations. Backups may retain copies until their retention period ends.

Responsibility and changes

Each party remains responsible for its own conduct. Nothing in these terms excludes liability or rights that cannot lawfully be excluded. Material changes will be presented for renewed acceptance. A new version does not retrospectively change a completed transaction. Namibian law applies, subject to mandatory rights that apply to you. Contact the Mandates operator at eleazarmw@gmail.com for support, billing concerns or disputes.
