Information we handle
We handle account and agency contact details, staff profiles, property and client records, invoices, documents and signatures that users submit. Signing records can include identification details when provided. We also maintain session, audit, security and subscription records needed to operate the service.
Why and who can access it
We use information to provide the workspace, manage access and billing, generate documents, support users and investigate faults or misuse. Authorised staff in your agency can access records according to their permissions. Platform support may access information when necessary to operate or support the service. Agencies are responsible for explaining their own use of client information to those clients.
Hosting, email and integrations
Cloudflare provides hosting and storage for the hosted service. Resend is used for configured transactional email. If your agency enables website or other integrations, necessary information is exchanged with those providers. Infrastructure may process data outside Namibia. We do not sell client records or use them for advertising. A payment provider’s own privacy terms apply when you use its hosted checkout; do not enter card details into ordinary mandate fields.
Storage and protection
We use access controls and other technical safeguards, but no system is risk-free. Browser session cookies keep you signed in; local browser storage may hold preferences and temporary unsaved work. Avoid shared devices for sensitive information and sign out after use. We retain records while needed for the service and legitimate security, accounting or legal purposes; deletion may not immediately remove backup copies.
Requests and contact
Contact your agency administrator to correct or obtain your agency records. For platform account access, privacy questions, export, closure or deletion requests, contact eleazarmw@gmail.com. We may verify identity and authority before acting. We explain any retention obligations or restrictions that affect your request. Material changes to this notice will be published with a new version.
